Parent Attendance Reporting Procedure Purpose

To ensure that student absences are reported promptly and accurately by parents/carers, enabling the school to maintain accurate attendance records and safeguard students effectively.

 

Procedure for Reporting an Absence

1. Inform the School on the First Day of Absence

Parents/carers must contact the school before 8:30am on the first day their child is absent.

This can be done by:

  • Parent App/Portal: Edulink 

2. Provide the Following Information

When reporting an absence, parents/carers should complete all of the details thoroughly:    

  • Student's full name
  • Year group/form
  • Reason for absence
  • Expected return date (if known)
  • Name of parent/carer making the report

3. Daily Updates for Ongoing Absences

If the absence continues for more than one day, parents/carers should contact the school each day unless a return date has already been agreed.

4. Medical Appointments

Where possible:

  • Medical and dental appointments should be arranged outside school hours.
  • Evidence of appointments will be requested.
  • Students should attend school before and after appointments whenever possible.

5. Illness Lasting More Than Five Days

The school may request medical evidence for absences exceeding five consecutive school days.

Examples include:

  • GP appointment confirmation
  • Prescription receipt
  • Hospital appointment letter

6. Unreported Absences

If a student is absent and no reason has been provided:

  1. The Attendance Team will attempt to contact parents/carers by edulink, text, or email.
  2. If no contact is received, the absence will be recorded as unauthorised.
  3. Further safeguarding procedures may be followed if the student's whereabouts remain unknown.

7. Planned Absences

Requests for planned absences during term time should be submitted in writing to the Headteacher in advance using the school's Leave of Absence Request Form.

Parents should be aware that holidays taken during term time are not normally authorised except in exceptional circumstances.
